A cleaning company client app is a client-facing view of your Xota account. It covers two things: a restricted-navigation login for clients who want an account, showing only that client's own projects, bookings, proof of clean and invoices with no Clients list and no Schedule, and public share links for clients who don't, giving them a Project, Invoice or Quote view from a single link with no sign-in at all.

One cleaning company client app, two ways in

Some clients want to log in and check whenever they like. Others just want the link you sent them to open. Xota covers both without you doing the work twice.

01 · CLIENT LOGIN

A cleaning company client app login that shows just their work

Set a contact's access to client role and they get their own sign-in with a restricted navigation. They see their own Projects, Bookings, proof of clean and Invoices. There is no Clients list, so they never see your other customers, and no Schedule, so your team's full rota stays yours.

No login? Send a public link instead

Not every client wants a password to remember. A Project, Invoice or Quote can each be shared as a single public link. The client opens it straight away on any device, no account, no sign-in, no lost password email. It's the same underlying data as the client portal, just without the login step.

  • Project view: proof of clean, photos and checklists for that site
  • Invoice view: line items, photos and total for a single invoice
  • Quote view: pricing and e-signature acceptance, no account needed
  • Paste the link into an email, text or WhatsApp message

Live proof of clean, either way in

Both the client login and the public Project link show the same proof of clean: the photos uploaded on site, the checklist for that visit and the time on site. It appears the moment a booking is signed off, so a client can check what happened without ringing the office.

Outstanding, overdue and paid invoices are visible the moment a client logs in, or you can send the invoice view as a public link the day it's raised. Either way, the invoice carries the signed-off bookings and photos it was built from, so there's less back and forth about what's being billed.

What is a cleaning company client app?

A cleaning company client app is a client-facing view of your Xota account. What is the difference between a client portal login and a public share link?

A client portal login is a client role account with a username and password. Once signed in, the client sees a restricted navigation with their own Projects, Bookings and Invoices, and nothing else, no Clients list and no Schedule. A public share link needs no account at all. You send a single URL for a Project, Invoice or Quote and the client opens it straight away on any device.

Can a client see proof of clean without logging in?

Yes. A public Project link shows the same proof of clean as the client portal, including photos uploaded on site, the checklist for that visit and time on site, without the client needing an account or a password.

Do I have to give every client a login?

No. Portal access is set per contact, so you can give a login to the clients who want to check in regularly and use public share links for everyone else. Both options show the same proof of clean, bookings and invoices.

Can clients view invoices and quotes without an account?

Yes. Invoices and quotes each have a public share link. The client opens the invoice view to see the line items and total, or the quote view to review pricing and accept with an e-signature, without creating an account or remembering a password.

What can a client not see in the portal?
