Can Xota schedule early morning and evening cleaning shifts?

Yes. Bookings, travel time and absences all sit on one drag-and-drop calendar, so a 6am before-open team and an 8pm after-hours team for the same site are both visible at a glance. Recurring booking templates handle the pattern (for example Monday, Wednesday and Friday evenings) and drop virtual items onto the calendar ready to book in.

How do we record keyholding and access details for a site?

Every booking has a description field, so you can note keyholding arrangements, entrance to use, alarm procedure and any other access instructions directly on the booking. It is visible to whoever is rostered to that shift. Xota does not store alarm codes as a dedicated secure field, so most contract cleaners keep the code itself off the booking and just note who holds it.

Does Xota support washroom and compliance checklists?

Yes. Every booking can carry a checklist, so a washroom top-up, a boardroom polish or a fire escape check are all tracked as individual items rather than one vague “clean the office” task. Operatives tick items off in the mobile app as they go.

Can the office manager see proof that cleaning happened?

Yes. Operatives capture photos and a signature at sign-off, and every booking builds an audit trail. The office manager can see this either through their own client-role login, which shows just their projects, bookings and invoices, or through a one-off shareable project link with no login required.

Does office cleaning software replace our accounting package?

No. Xota calculates payroll in-app from bookings, absences and travel time, and raises invoices from signed-off bookings, but it does not integrate directly with Xero, QuickBooks or Sage.
